Guidance for Federal Work Study Students due to COVID-19

Communication below received from the Financial Aid Office on March 20, 2020. 

There have been many questions from students, student supervisors and administrators all over campus about the status of Federal Work Study students during this period of remote instruction. I appreciate your patience ahead of time as there have been many moving pieces with this and I wanted to have enough information before sending out any messaging.

Following guidance from the Office of Postsecondary Education regarding Federal Work Study (FWS) payments for disaster-affected students, we have developed the following university-wide policy regarding FWS students:

All current FWS students with remaining funding should be paid for their regularly scheduled hours at their regular pay rate through the last day of class for the spring semester, which is May 4, 2020. It is the responsibility of supervisors to determine their students’ hours for each week through May 4 based on pre-determined schedules or the students’ most recent timesheets if their regular schedules vary. If students either just started working or were scheduled to begin working this week, supervisors should pay them for the hours they anticipate they would have worked each week through May 4. As always, it is the supervisors’ responsibility to enter hours in PeopleSoft according to the hourly time and labor cutoff schedule provided by Payroll Services .

In addition, it is imperative that supervisors carefully monitor their student employees’ FWS earnings to ensure that they do not enter hours in PeopleSoft that would exceed the students’ current award amounts. Please be advised that there will be no additional increases to FWS awards for the remainder of the 2019-2020 academic year under any circumstances and students cannot be paid with FWS funds once they reach their current award amount.

While under this guidance, students should be paid whether or not they are actually able to report to work. Students who have been approved by their departmental supervisor to work either on campus or remotely should be paid their regular pay rates for all hours worked through May 4, 2020.

Please be advised that this guidance applies to current Federal Work Study students only. If you have non-work study students that you wish to pay, that decision is up to each department.
